Important Deadlines 2004

December 31, 2003  
Commercial Exhibition request
Stands and floor space are assigned on a “first come, first served” basis, according to the date applications are received. The application deadline is 31 December, 2003.
January 14, 2004  
Paper copy abstract submissions
Receipt of paper copy abstract submissions on the enclosed abstract form together with a diskette/CD-ROM.
January 15, 2004  
Cultural Program submissions
Individual artists, art groups, community art groups, theatre, musicians, are invited to take part in the conference.
January 21, 2004  
Online abstract submissions
Abstract submissions via the online submission form on the Conference website.
February 2, 2004  
Scholarship applications
The deadline date for scholarship applications is 2 February, 2004. We regret that we are unable to process any applications that arrive after this date.
Early registration fee
Registration fees for regular delegates are lower if payment is made before this date.
Cancellations of registration
Cancellations of registration with full refund minus USD 75.
NGO Exhibition requests
A number of 6 sqm exhibit booths will be allocated free of charge for non-governmental, non-profit organisations.

Satellite Meeting requests
Parties wishing to organise a Satellite Meeting are asked to complete a detailed proposal (content, plan, speakers, schedule, etc.) as well as a space request form to be sent to Congrex at aids2004@congrex.se
Skills Building Workshop submissions
Submissions must be received at the Skills Building office in Bangkok, Thailand by the 2nd of February. Selected workshop facilitators will be notified in late March 2004.

Youth Activities application
Activities for Youth will ensure that disadvantaged youth become an integrated and integral part of the XV International AIDS Conference proceedings. The activities will advocate for youth issues in all areas of the conference. AIDS 2004 will be the year that youth have their voices heard and actively contribute to the both today’s and tomorrow’s agenda.

Cancellation of accommodation with full refund minus USD 75. After this date we regret that the hotel deposit cannot be refunded.
Guaranteed hotel reservation
Deadline for guaranteed hotel reservation.

“Late Breakers” submission
“Late Breakers” abstract submission (online only).
The late breaker abstract submission will be open from
3 May to 26 May, and may ONLY be made via the Conference website.
June 1, 2004  
Student/Youth Registration
In light of the theme, “Access for All”, the organisers of the XV International AIDS Conference have extended the student registration fee to all youth age 21 or younger (as of 11 July 2004).

To attract more young people the organisers have decided to extend the deadline from May 1 to June 1, 2004 for Student/Youth registration!

Childcare Centre Registration
The Conference will offer a child care facility which provides an opportunty for parents to participate fully in the Conference activities while the children are looked after in a safe, supportive and friendly environment.

Cancellation of tour tickets
Cancellation of tour tickets with full refund.
Tour cancellations must be received in writing (e-mail, fax or letter) by the TCC before 11 June, 2004 for a full refund of tickets. All cancelled tour tickets will be refunded in their entirety after the Conference if cancelled prior to 11 June, 2004.
